Hybrid is harder than either format alone because the signal has to travel both ways, for two audiences with very different tolerances. The room forgives almost everything; a stream gets one fixed mix and one fixed frame, so anything you did not deliberately control arrives as noise. What AV equipment does a hybrid event actually need?
Every hybrid setup, from a boardroom town hall to a 1,200-seat auditorium, is the same chain scaled up or down. Microphones, cameras and slides feed a mixer; the mixer feeds an encoder; the encoder feeds a connection; and return feeds go back to whoever needs them. Most single-stage UK conferences land in the standard tier, roughly £2,000–£4,500 a day for kit and operating crew. That is a hire figure rather than the cost of running the event: producer time, platform fees, rehearsal days and edits sit on top of it. Below that you are buying a competent webcast; above it you are buying a broadcast. Why does audio decide whether a hybrid event works?
Because a remote audience cannot compensate for bad sound and will not try. Build the audio chain first and work outwards.
Use one microphone per source, and never a room mic. A microphone placed to “pick up the room” is the most common cause of unusable hybrid audio: it captures the speaker, the room’s reverberant tail and the PA reinforcing that same speaker all at once, so the stream hears the space rather than the person. Instead:
- Lectern: a supercardioid gooseneck, close and angled at the mouth rather than the chest.
- Presenters who move: a headset or discreet lavalier on a radio pack. Headsets hold a constant distance from the mouth, which is why broadcast favours them on stage.
- Panels: one microphone per chair. Shared table mics drop the level and raise the reverb.
- Audience Q&A: two roving handhelds, or a throwable cube mic. If a question is not on a microphone the stream does not have it, so brief your host to repeat every unmiked question.
- Atmosphere: a stereo pair on the audience, brought up gently under applause so the stream feels like a room rather than a booth.
Radio microphones also need frequency coordination and the correct UK licence for the band in use: eight channels not scanned on site that morning are eight waiting to drop out mid-keynote.
Build a separate mix for the stream. This is the technical heart of hybrid audio, and the thing a one-way webcast never has to think about. Your PA mix is tuned for the room: sources the audience already hears acoustically are pulled down and frequencies the room reinforces are notched out. Send that to the stream and it sounds thin and oddly balanced. The encoder needs a clean board mix on its own aux or matrix output, every source at full broadcast level, with playback audio taken as a direct feed rather than off the PA.
Understand mix-minus. Any remote participant must receive everything except their own voice, or they hear themselves returning a fraction of a second late, which is very hard to speak over. A mix-minus is an aux send with that person’s channel removed, and you usually need several: one per remote contributor, plus one for the machine bringing people in over Zoom or Teams. With open microphones in the room, add acoustic echo cancellation or the loop will build.
Then get that feed into the video path cleanly: balanced XLR or networked audio (Dante or AES67) into the switcher, embedded into the SDI, with a few frames of delay so audio lines up with processed video. Aim for integrated loudness around −16 LUFS, true peaks no hotter than −1 dBTP, and monitor the outgoing stream on headphones rather than the desk.
Rule of thumb: if you can only afford to do one thing properly, do the audio. Viewers will forgive a locked-off wide shot for an hour. They will not forgive muddy, echoing sound.
What cameras and vision mixing do you need?
Two cameras is the honest minimum for anything you would call a conference: one locked wide as a safety shot, one operated on a long lens for close-ups. A single camera is fine for a talking-head town hall and quietly punishing across a six-hour agenda. From three up you gain a side angle for panels and an audience shot for reactions.
Shoot 1080p at 25 or 50fps rather than reaching for 4K. UK mains runs at 50Hz, so those frame rates avoid flicker and banding against LED walls and stage lighting, and clean 1080p50 at a sensible bitrate beats bitrate-starved 4K on a stream. Match frame rate across cameras, switcher and encoder before anything else, and white balance every camera to the same reference under the actual stage lighting. Use SDI rather than HDMI beyond a short desk run.
For the vision mixer, hardware switchers such as the Blackmagic ATEM range and NewTek TriCaster systems are the two categories you typically meet on UK hybrid shows. An ATEM is a compact, cost-effective switcher that pairs with a separate encoder and graphics machine. A TriCaster is an integrated system with NDI-native inputs, graphics, replay and streaming in one box, which is why it tends to appear on shows with many remote sources and a small crew.
Two details separate a decent vision setup from an amateur one. Never point a camera at the projection screen: take slides as a direct feed through a splitter and scaler, and test every presenter’s adaptor in rehearsal. And record ISOs, because capturing each camera plus programme costs almost nothing live and is what lets you build the edits described in how to repurpose event footage.
How do you get the stream out, and keep it out?
The encoder turns your programme feed into a stream. Hardware encoders boot into one job without an operating system deciding to update itself, which makes them the safer choice on high-stakes shows; software encoders such as OBS, vMix and Wirecast give more flexibility for graphics and multiple destinations. For settings, 1080p25 or 1080p50 at roughly 6–8Mbps video with 128–192kbps AAC audio suits most conference content. RTMPS is what most platforms ingest; SRT is what you want over ordinary internet, because it recovers lost packets.
Connectivity is where hybrid events actually fail. Venue Wi-Fi is not a delivery path. You want a wired hard line on its own VLAN with, as a rule of thumb, at least three times your streaming bitrate in sustained upload headroom, tested during a busy period rather than at eight in the morning when the building is empty. Then layer redundancy on top: a bonded cellular backup path, UPS protection on mixer, switcher, encoder and router, and a local recording as the last line of defence. What do remote speakers and the crew need to see and hear?
Return feeds are the part people forget until a remote keynote is talking over the host, and they are the clearest dividing line between hybrid kit and streaming kit. A remote contributor needs three things: a mix-minus of the room audio, a low-latency video return, and a clear cue to speak. Never send them the public stream as their return, because public delivery typically runs tens of seconds behind the room. Bring them in over a dedicated conferencing machine, taking its video into the switcher and its audio into the desk on isolated channels.
In the room, the host needs a confidence monitor showing the remote speaker at a usable size, the audience needs them on a downstage screen, and the chair often needs an earpiece for audio the PA is not carrying. Comms ties it together: a wired partyline for fixed positions, wireless full-duplex packs for roving operators and the floor manager, and one director’s voice deciding what happens next. What pushes a hybrid AV budget up or down?
Two events with the same headcount can differ by a factor of five. These are the levers:
- Camera count and whether they are operated. A PTZ costs a fraction of an operated camera on a long lens, but operated cameras are what make close-ups usable.
- Audio channel count. Two wired microphones and twenty-four coordinated radio channels are different jobs needing different desks, racks and a dedicated engineer.
- The venue’s reality. No house PA, no dedicated internet circuit, restricted get-in times or a stairs-only load-in all add crew hours before a camera is switched on.
- How much redundancy you buy. Bonded internet, dual encoders and UPS protection are insurance. On an internal update, skip most of it. On a ticketed broadcast, do not.
- Rehearsal and setup days. A build day and a technical rehearsal each add roughly a day of crew and kit, and they are where hybrid problems get found rather than discovered live.
- Deliverables and platform complexity. Edited sessions, captions and social cutdowns are separate scope, as are registration walls, custom players and simulcasting.

What lighting does a hybrid event need?
Enough light on faces to expose them properly, aimed at each speaking position rather than washed across the stage in general. Venue house lighting is designed for a room full of eyes, and eyes adapt in a way a sensor does not: a lectern that looks perfectly visible from row four arrives on the stream as a grey, noisy face with dark eye sockets. After audio, lighting is the cheapest quality upgrade on the whole rig, and it is the one venues most often assume you will not need.
- Key every speaking position. A lectern, two panel chairs and a presenter walking a two-metre strip are four positions, not one wash. Each wants a key from the front and slightly off axis, with a softer fill opposite so the shadow side does not go black.
- Keep the stage brighter than the screen. If the LED wall or projection behind a speaker is brighter than their face, the camera exposes for the screen and the presenter becomes a silhouette. Either lift the key or pull the screen brightness down, and settle it in rehearsal rather than on the morning.
- Match colour temperature. Daylight through a window, tungsten house lights and LED fixtures set three different ways will fight each other, and no single white balance fixes all three. Pick one temperature and gel or set everything to it.
- Leave enough light at the back. Audience and reaction shots need usable levels, which usually means keeping the house lights higher than the projection would ideally like. That trade gets agreed once, with the cameras live.
None of this needs a touring rig. Two soft LED panels on stands, correctly aimed and set while the cameras are running, do more for perceived production value than a fourth camera does. What should be on your hybrid event AV kit checklist?
Use this to read a quote rather than to write one. Every line below turns up on a competent hybrid quote, and the third column is where an honest supplier tells you what your particular event does not need. If an item is missing, ask why; if it is there and you cannot see why, ask what it protects. Take a common brief: 300 delegates in a London hotel ballroom, one stage, a full-day agenda, two speakers joining from overseas and several hundred more people watching online. That is a standard-tier job rather than a broadcast one, and the kit list follows from the brief rather than from the headcount.
- Vision: three cameras, one operated on a long lens plus two PTZs covering the wide and the audience, into a hardware switcher with holding slides and lower thirds, ISO recording on all three.

What are the five mistakes that break a hybrid stream?
Five failures account for most hybrid streams that go wrong, and every one of them is visible in a quote before the build day if you know what to look for.
- Pointing a microphone at the room. It hears the space, the PA and the speaker at once, so the stream gets reverb instead of words. One microphone per source, every time.
- Sending the PA mix to the encoder. The room mix is deliberately not a broadcast mix, so the stream arrives thin and strangely balanced. The encoder needs a clean board mix on its own aux or matrix output.
- Giving remote speakers the public stream as their return. Public delivery runs tens of seconds behind the room, so they answer the question before last. They need a mix-minus and a low-latency return feed.
- Trusting venue Wi-Fi. It is shared with every delegate’s phone and degrades exactly as the room fills. Use a wired hard line on its own VLAN, tested during a busy period, with a bonded cellular path behind it.
